Terms and Conditions of Meeting Room Hire
General
The following terms and conditions will apply only to the supply of meeting rooms at The Coval Business Centre. By booking a meeting room you agree to accept without modification the Terms and Conditions below. By viewing and using the site you are deemed to consent to and accept the Terms and Conditions
Changes
We reserve the right to change these Terms and Conditions at any time. Any changes are effective immediately upon posting to the site. Your continued use of the site constitutes your agreement to such Terms and Conditions
Meeting Room Availability
Any booking for a meeting room is subject to there being availability of rooms. We reserve the right to refuse any booking for a meeting room
Enquiries / Booking a Room
You can make enquiries and/or bookings for our meeting rooms either verbally, in writing or electronically (using the ‘Meeting Rooms’ Page). If request is made via email/verbally A ‘Meeting Room Booking form’ will be sent out, once received your booking will be confirmed via email
Catering and Refreshments
Catering for your event, Hirers are asked to arrange their own lunches, local Cafes can be recommended. Hirers must make The Coval Business Centre aware of any lunches that may be delivered to the Centre. Tea and Coffee making facilities are available on site and hirers are welcome to use these free of charge.
Fire Precautions
All attendees must be made aware of the Fire Action Procedures and Evacuation routes.
See Exit Route Plan in the holder on the wall in the communal area.
Assembly point: Assembly Point 5 – by car park gate
Smoking:
Smoking is not allowed in any areas of the building including e-cigarettes.
Smoking is permitted outside the building – NOT in front of the building or by any open window and doors.
Please use bins to dispose of cigarette butts.
Attendees:
Please notify the Centre of the names of all expected attendees 24 hours prior to the event.
Facilities:
All areas used must be left clean & tidy after use.
All tables & chairs that have been moved must be returned to the original location/ layout.
Damages:
Users will be held responsible for any damage caused to equipment / facilities by anyone attending / organising / running the event.
Cancellation:
In the event of a cancellation, please notify the Centre as soon as possible.
Cancellation with less than one week’s notice will incur a charge:
§ One week to 48 hours 50% charge
§ Within 48 hours 100% charge
Payment Terms:
A non-refundable deposit of 50% will be required at time of booking via BACS – the remainder to be paid on receipt of final Invoice.

Disclaimer
Let’s Do Business Group, The Coval Business Centre reserves the right to cancel meeting room bookings at any time. In the unlikely event of cancellation, fees will be refunded in full. Whilst every effort has been made to ensure the accuracy of the information on the website, it may be subject to change to later alteration or amendment in the light of policy changes or other constraints
